Invite Your Team and Choose Roles

What Admin, Editor, Workspace Manager and Viewer can each do, and how to invite and remove people in a direct or a partner-managed workspace.

Your roles depend on how your workspace is set up:

  • A direct workspace is one you set up and pay for yourself. It has the roles Admin and Editor.
  • A partner-managed workspace is set up and billed by a displayAQI partner. It has the roles Workspace Manager and Viewer, and the sidebar shows "Service managed by" with the partner's name.

Direct Workspaces

Build widgets and kiosks, set display hours, rename devicesYesYes
Create alerts and manage buildingsYesYes
Connect and remove devices, manage device account keysYesNo
Invite, change and remove team membersYesNo
See and manage billingYesNo

The person who creates a workspace is its Admin. Invite colleagues or a web developer as Editors: they can build displays and alerts, and can't change devices, the team or billing.

Invite or Remove a Member

Open Settings and select the Organization tab. You can also choose Add, then Team member, to go straight there.

Invite the person by email address.

Choose Admin or Editor, then send the invitation.

The person receives an email with a link to join. To change someone's role or remove them, use the options next to their name in the same member list. A removed member loses access to the workspace.

Partner-Managed Workspaces

A Workspace Manager runs the workspace day to day. A Viewer sees dashboards and history and can't change anything.

What the Partner Keeps

Your partner connects and removes devices, holds the device account keys, and handles billing and invoices for the workspace. Settings → Access → Service access lists the partner's own staff access, separate from your members.

Invite a Member

Open Settings and select the Access tab. You can also choose Add, then Team member.

Select Invite team member. For the first invitation, the button reads Invite Workspace Manager.

Enter the person's address under Email.

Under Role, choose Workspace Manager or Viewer. The first person invited is always a Workspace Manager.

Select Send invitation.

Invitations wait in the Pending invitations table with their expiration date. Select Send again to send a fresh email, or Revoke to cancel the invitation.

Change a Role or Remove a Member

In the members table, use the role menu beside a person to switch between Workspace Manager and Viewer. Select Remove, then Remove member, to end their access. They lose access immediately, and you can invite them again later.

A workspace always keeps one Workspace Manager. To remove or demote the last one, add another first.

Any member can select Leave workspace on their own row.
